A licence is only as good as the medical check underneath it. SkyRoster enforces that chain, not just displays it.

Requirements and qualifications are two layers, and the model maps directly onto how an ANSP already thinks about licensing: a rating is only valid while every precondition underneath it is.

Requirements

Atomic preconditions, a medical check, a degree, each with its own validity period in days, or permanent. A requirement can carry conditional rules that vary its validity: under 40, a medical check might be valid for 365 days instead of the general 730.configured

Qualifications

The actual licences and ratings, Approach Control, Area Control Centre, Tower. A qualification is valid only if its own validity period has not expired andevery requirement attached to it is currently valid.

This is the part worth being precise about. When a requirement expires, a medical check lapses, a training record ages out, every qualification built on it is silently invalidated the moment it does. There is no separate step where someone has to remember to revoke the licence by hand. From that instant, the rostering engine treats that employee as not holding that qualification: it will not place them on a position that needs it, whether the roster is being solved fresh or re-checked with Check Solution.

This is the product-level version of a rule ANSPs already have to enforce for regulatory compliance, a rating is only as good as the medical or training record underneath it. The difference is that here it is structural, not procedural: a lapsed requirement removes the person from the pool of assignable candidates automatically, rather than depending on whoever tracks the spreadsheet to notice in time.

Qualifications carry their own currency rules

Unit scope and implied qualifications

A qualification can be scoped to specific units, and linked to implicit qualifications, holding one automatically implies eligibility for another, where the two share a compatible unit scope. Each carries its own roster display code and colour.

Strategic and tactical currency

A qualification can carry its own minimum days or hours worked over a recent period, the "use it or lose it" currency rule common in ATC licensing regimes. The roster-generation engine keeps a qualified employee above that threshold on its own.configured

Suspensions

Some or all of an employee's qualifications can be suspended for a defined date window with a free-text reason, a structured way to say "not qualified to work this position right now" without touching the underlying qualification record.

Roles on a shift

Trainee, instructor, substitution, flags the roster engine actually reads

Beyond simply holding a qualification, an employee can be additionally marked, per qualification, as a trainee, an instructor, or eligible for substitution, and these are not cosmetic labels.

Trainee

Placed in a trainee pool and only ever assigned in a trainee capacity for that qualification. Accumulated training hours are tracked automatically, with an optional link out to a training record.

Instructor

Eligible to train pool trainees when the roster calls for it. Tactical, day-of allocation matches trainees to available instructors automatically.

Support period

A time-bounded window in which one or more instructors mentor an employee on specific qualifications. While it is active, that employee is excluded from independent assignment on those qualifications, the system will not roster them alone before the mentoring period says they are ready.

One screen shows every employee's held qualifications and their current status, valid, expired, expiring soon, filterable by unit. A manager updates markers directly here, and hovering any cell opens the exact validity detail behind it.

Reminders up the chain

As a qualification or requirement approaches expiry, the system proactively notifies up the chain of command, turning licence currency from a manual tracking chore into something the platform watches on its own.

Two reporting tables

A Requirements table (job number, unit, requirement, conditional validity, expiry) and a Qualifications table (adding tactical hours worked in the last 60 and 365 days), both with quick filters for "expiring within 30 days" and "already expired," let HR triage the whole organisation's competency risk in one view.
